Coordinated by OTP Core Member, Maya Attia, the Open Sessions are an integral part of the Open Theatre Project’s continued mission of ART. For the Purpose of Community. These bi-monthly meetings are a way for the members of the OTP to connect with one another and explore a variety of artistic and professional ideas. Some of these sessions will also serve as introductions to those interested in learning more about OTP and the community who defines who we are.

This position will serve the needs of the Open Sessions as delegated by Maya and the OTP Core. Below are the basic responsibilities.

• This is a volunteer position requiring attendance at all Open Sessions, as well as planning and preparation meetings.

general responsibilities

• Essential Duties of Second in Command:
• Act as sounding board for the Open Session coordinator.
• Provide the coordinator feedback and assist with logistics
• Partially responsible for gathering contact information of anyone who expresses interest at an Open Session.
• Act in place of the Open Session coordinator when he/she is unable make decisions or otherwise maintain the Open Sessions.
• Consistently communicate and report to the Open Session Coordinator with any problems/ ideas etc.

essential duties when the coordinator is unavailable:

• Select subjects and venues from the idea bank for each session
• Select an appropriate sized venue for the chosen theme
• Check with the venue at least 1 week prior to the open session to confirm the venue is an appropriate setting for the chosen theme (finding out the max cap, hours of operation, noisy/ quiet setting, good for groups, etc)
• Send weekly invitations via email to everyone involved in OTP (Core, staff, Resident Actors, artistic circle, etc). These invitations will follow the form outlined in the Open Session Handbook.
• Send a reminder email each day prior to an Open Session
• Collect RSVPs and confirm attendance.
• Keep track of who RSVPd and who actually showed up.

The Development Coordinator will support development efforts for funding OTP endeavors including donor research and tracking, special events, project management, communications, and volunteer management. Key to the position is to juggle various projects at once, while maintaining a clear view of how each project supports the organization’s mission.

• assist in developing long and short-term fund/revenue development strategies
• maintain contact lists of donors and actively reaches out to solicit contributions
• grant writer for organization. prepare and properly submits all proposals.
• This is a volunteer position requiring 5-8hrs a week with growth / compensation opportunities later in 2013.

donor research & capacity building

• conduct donor research and collaborate with the Business Director to maintain a system for tracking donors and prospects.
• Identify potential supporters and work with Business Director as well as Artistic Director to initiate relationships
• Conduct grant research and maintain grant tracking
• Grant writing with the assistance of Business Director
• Strategize ways to engage specific subsets of OTP’s community reach through outreach efforts, targeted fundraising efforts, etc.
• Serve as project manager for various campaigns and funding projects.

communications

• Produce and edit donor correspondence. Submit press releases, newsletter content and website content to Marketing Department.
• Assist Marketing Department in identifying and developing new and compelling ways of telling the OTP story to attract media coverage and community support, and to develop as well as strengthen relationships with donors/funders.

events

• Serve as a key staff member for OTP at events including attendance at planning meetings, assisting with sponsorship solicitation, assisting Marketing Department with promotional materials, assist with donor recognition, and acting as liaison between OTP and potential funders/donors.
• Work with volunteers and staff to organize as well as coordinate fundraising activities

volunteer development

• Supervise Fundraising/Donor Event volunteers and interns
• Collect tasks from “OTP Left Brain” funnel tasks to volunteers
• Work with Business Director to identify and recruit new volunteers
• Ensure effective communication among volunteers and between volunteers and OTP

REQUIRED QUALIFICATIONS:

1. Bachelor’s Degree or relevant experience can be substituted for degree.
2. At least 2-3 years of development and fundraising experience
3. Experience with writing, communications, and PR
4. Experience in volunteer or staff management
5. Excellent project management skills
6. Excellent written and verbal communication skills
7. Attention to detail
8. Excellent organizational skills
9. Knowledge of the Performing Arts
10. Ability to work independently and as a team player
11. Ability to maintain confidentiality
12. Ability to multi-task in an organized fashion

• assist in creating and maintaining the budgeting policies and procedures manual
• conduct research and analyses, formulate recommendations and follow through with execution to improve processes and increase profitability.

required qualifications

1. Bachelors Degree in public administration, finance, accounting, or similar fields.
   **Will consider current students within these fields.
2. Must be able to demonstrate advanced skills with Microsoft Excel and Access.
3.  Must be able to demonstrate excellent finance or accounting skills.

preferred qualifications: 

1. Masterís Degree in finance, public administration or related field.
2. Experience working in a performing arts accounting environment
3. Demonstrated strong quantitative interests, skills, and abilities.

The OTP Playwriting Workshop Stage Management position is directly involved with the organization and coordination of schedules, actors and creative staff for each event. They will work directly with the Workshop Coordinator, Howard Zilber, Monthly Moderators and the Artistic Director to perform all tasks relating to the Playwriting Workshop, and will be provided the volunteer efforts of 1-2 resident actors per event.

• This is a volunteer position requiring attendance at 2 rehearsals, 1 workshop per month with various organizational tasks throughout the month.

about the workshops

The OTP Playwriting Workshops are once a month public readings which provide our community a rare look into various stages of the playwriting process and an open forum for questions, conversation & continued development following every workshop. LEARN MORE HERE

• Call any late arrivals (5 min after call)
• Maintain notes for Artistic Director during talk back
• Help moderate talk back (optional)

July 17, 2009 We produced our first show, the ITP (ithaca theatre project) Summer Cabaret. It was a musical review that epitomized the essence of who we have become. We had about 15 artists involved, rehearsals in my livingroom, an ideal venue and the outcome could not have been better. Even though we only had one performance, our name was misspelled on the marquis  & ITP would quickly move far far away, it  set the ball rolling…

It is now March 25, 2013 and after almost 4 years, that foundation has served as a compass, guiding us toward the type of people who can turn OTP into the company it has always set out to be .  That is a pretty cool feeling. Now has come the time to find a dedicated few with the perfect mix of artstic talent, organization, drive & a dash of crazy.

What do we need?

We need people who are committed, passionate and willing to work within an ever evolving style of theatrical thinking. Our Core Staff Members not only seek to better their artistic selves, but they want to provide opportunities for others in and outside OTP. We also work day jobs and do this on our own time… our goal is to make this a full time gig and we already have paid opportunities for artist / community alike.

What is expected? (commitment / time)

We don’t know yet, because we don’t know who you are. Each of our Core Staff Members have built a pillar of OTP which they now support based on their indivdiual talents and goals. This snap shot gives you an idea of how our structure is distributed, but we always welcome new & exciting abilities, what are yours?

Time is important too, we all devote a few hours a week to the business of OTP & the  events / programs we sponsor. What you are willing to give starts from what you want to do.

Over the last 2 months, you may have noticed that OTP has taken some dramatic steps in a new and temporarily secretive direction. We have had over 2 years of feedback from artists & audience alike and that input has been taken to heart.
